Terms & Conditions

By booking Aara Creative Studios (“the Studio”), you agree to the following Terms & Conditions.

Booking & Payment

  • All reservations are confirmed on a first-come, first-served basis.

  • A non-refundable deposit is required to secure all bookings.

  • Full payment must be received prior to the start of the rental period.

  • Payments are accepted via credit or debit card.

  • Bookings are not confirmed until payment has been received.

Cancellation Policy

  • Cancellations made 30 days or more before the scheduled booking will receive a full refund (including fees).

  • Cancellations made between 30 days and 7 days before the booking will receive a 50% refund (excluding fees).

  • Cancellations made less than 7 days before the booking are non-refundable.

All cancellation requests must be submitted in writing.

Rescheduling Policy

  • Rescheduling is permitted only if a minimum of 7 days’ notice is provided prior to the original booking date.

  • Each booking is entitled to one reschedule only.

  • A new date must be confirmed based on current availability.

  • After one successful reschedule, no further changes will be permitted.

Studio Use

  • The Studio is to be used solely for photography, filming, and related creative activities.

  • Clients are responsible for ensuring safe and appropriate use of all equipment and facilities.

  • Any damage caused by negligence, misuse, or failure to follow instructions will be charged to the client.

Backdrops & Infinity Cove

Paper Backdrops

Selected paper backdrops are included with studio hire, subject to availability and current stock condition.

  • If a backdrop is rolled onto the floor and stepped on, a charge of £10 per metre will apply.

  • Excessive marking, tearing, staining, or damage beyond normal use may result in additional replacement charges.

  • Backdrop colour requests should be confirmed prior to your booking.

Infinity Cove

Our 5.5m x 4.5m infinity cove is maintained to a professional standard.

  • A fresh paint finish can be requested for £60, with a minimum of 24 hours’ notice prior to your booking.

  • Any scuffs, heavy marks, paint damage, or surface damage caused during your session that require repainting will incur a £60 repainting fee.

  • Clients must not apply tape, adhesives, paint, liquids, powders, or materials to the cove without prior written consent.

The infinity cove must be used respectfully and in accordance with studio guidelines.

Insurance & Liability

  • Clients are required to carry appropriate public liability insurance covering their activities within the Studio.

  • Aara Creative Studios shall not be liable for:

    • Injury to persons

    • Loss or damage to personal property

    • Equipment failure or interruption of services

  • All activities conducted within the Studio are undertaken at the client’s own risk.

Equipment Rental

  • Additional equipment rental is subject to availability.

  • Clients must return all rented equipment in the same condition as received.

  • Any loss, damage, or theft will be billed accordingly.

  • Clients must inspect equipment at the time of handover and notify the Studio immediately of any existing damage.

Security & Access

  • Clients are responsible for securing the premises during their booking.

  • Any keys or access codes provided must be returned at the end of the hire period.

  • Lost keys or compromised access codes may result in replacement or security charges.

Cleanliness & Maintenance

  • The Studio must be left in the same condition as found.

  • All rubbish must be removed, and furniture returned to its original position.

  • A cleaning fee may be applied for excessive mess or failure to restore the space.

Additional Charges

  • Overtime will be charged if the Studio is used beyond the agreed rental period.

  • Additional services or requests made during the hire period may incur extra fees.

Code of Conduct

  • Clients and guests must behave professionally at all times.

  • Disruptive, unsafe, illegal, or inappropriate behaviour will not be tolerated.

  • The Studio reserves the right to terminate a booking without refund if conduct standards are breached.

Minors

  • All minors (under 16) must be accompanied by a responsible adult or chaperone at all times.

  • Parental or guardian consent is required for minors to be present, photographed, or filmed on the premises.

Breakages, Losses & Damages

  • Clients are fully responsible for any damage, breakage, or loss caused during their booking period.

  • All equipment is used at the client’s own risk.

  • Aara Creative Studios shall not be liable for:

    • Damage to client or third-party property

    • Equipment malfunction

    • Interruption of studio facilities

  • If damage is not reported at the time of handover, responsibility will remain with the client.

Agreement

By confirming a booking with Aara Creative Studios, the client acknowledges and agrees to abide by these Terms & Conditions.

Failure to comply may result in immediate termination of hire and forfeiture of payments.
